10 Common Mistakes to Avoid When Ordering Custom Wristbands

Custom wristbands might seem like a small part of planning an event, but getting them right can make a big difference to security, access control, branding and the overall guest experience. Whether you're ordering wristbands for a festival, nightclub, school, charity event, leisure centre or corporate event, there are several common mistakes that can cause unnecessary delays, additional costs or problems on the day. The good news? Most are incredibly easy to avoid. Here are 10 common mistakes to avoid when ordering custom wristbands, along with some practical advice from the UK Wristbands team.
1. Choosing the Wrong Type of Wristband
One of the biggest mistakes is choosing a wristband based purely on price rather than considering how it will actually be used. Different wristbands are designed for different situations. Tyvek® wristbands are ideal for short-term and single-day events because they're lightweight, water-resistant, tamper-evident and cost-effective. Fabric wristbands are better suited to festivals and multi-day events where comfort, durability and appearance are particularly important. Vinyl wristbands offer excellent durability and can be particularly useful for venues, attractions and events where wristbands may be worn for several days. Silicone wristbands are reusable and are particularly popular for promotional campaigns, charities, awareness campaigns and membership identification. Before ordering, consider how long the wristband needs to last and what you need it to do.
2. Ordering the Wrong Quantity
Running out of wristbands halfway through an event isn't something any organiser wants to experience. If you're expecting 1,000 guests, ordering exactly 1,000 wristbands leaves no room for unexpected circumstances. You may need additional wristbands for staff, replacements, increased ticket sales, contractors or last-minute guests. It's usually sensible to build a small contingency into your quantities. For events using multiple colours or designs, calculate the required quantity for each individual category, rather than simply working from your total attendance.
3. Leaving Your Order Until the Last Minute
Different wristband types have very different production times. Some products can be manufactured extremely quickly, while others require considerably more production time. At UK Wristbands, many of our custom printed Tyvek®, RecycleBand and EcoTech wristbands can typically be produced within 1–3 working days. Fabric, vinyl and silicone wristbands require longer production periods. If you have a fixed event date, ordering early gives you more choice and reduces the risk of unnecessary stress. Remember to allow time for artwork approval, production and delivery, rather than looking at production time alone.
4. Making the Design Too Complicated
More isn't always better. Trying to squeeze your event name, website, sponsors, telephone number, social media accounts, QR code and several logos onto a small wristband can result in a cluttered design that's difficult to read. Keep the most important information prominent. For many events, a simple combination of an event name, logo and clear colour scheme can be much more effective than trying to fill every available millimetre. The wristband still needs to work when it's wrapped around someone's wrist, so always consider how the finished product will actually be viewed.
5. Using Text That's Too Small
A design might look perfectly readable when enlarged on a computer screen, but wristbands are relatively small products. Tiny text, very fine lines and complicated details may not reproduce as clearly as expected once printed. If information needs to be read quickly by security staff, make it large, clear and easy to identify. This is particularly important for wording such as: VIP • STAFF • CREW • OVER 18 • GENERAL ADMISSION • WEEKEND • SATURDAY. These are functional wristbands, so usability should be considered alongside appearance.
6. Choosing the Wrong Wristband Width
Wristband width can make a significant difference to your design. For example, our standard Tyvek® wristbands are available in 19mm and 25mm widths. A simple logo or short piece of text may work perfectly on a 19mm wristband. However, if your design contains more detailed artwork, smaller text or a QR code, we'd generally recommend considering a 25mm wristband. The additional printable area gives the artwork more room and can improve readability.
7. Not Considering How Colours Will Work
Colour is particularly important when wristbands are being used for access control.
You might have:
- Red for general admission
- Blue for VIP
- Yellow for staff
- Green for performers
- Purple for backstage access
- Orange for contractors
The exact colours don't matter as much as ensuring they're easy to distinguish from one another. Using several very similar shades can make life unnecessarily difficult for security teams, particularly in busy or poorly lit environments. There are also printing limitations to consider. For example, white ink isn't available when printing onto standard pre-coloured Tyvek® wristbands. If your design requires specific background colours, white elements or greater control over the finished appearance, edge-to-edge printing may be a better solution.
8. Forgetting About QR Codes and Variable Data
If your wristbands need unique QR codes, barcodes or sequential numbering, this needs to be considered when choosing both the product and the artwork. Variable data can be extremely useful for ticketing, identification, competitions and access-control systems, but sufficient space needs to be allowed within the design. For Tyvek® wristbands containing QR codes, we generally recommend using 25mm wristbands where possible. It's also important to determine whether you require a static QR code that's identical on every wristband or a unique QR code on each individual wristband. These are very different production requirements.
9. Not Checking Your Artwork and Proof Properly
Your proof is your opportunity to check everything before production begins. Don't just look at the colours and logo.
Check the: Spelling, dates, telephone numbers, website addresses, QR codes, numbering sequences, quantities, colours and overall layout.
If you're ordering multiple designs, make sure you're checking every variation. A five-minute check before approval can prevent a much bigger problem later. Once an order enters production, making changes can become difficult or impossible because materials, printing plates or other production processes may already have started.
10. Choosing on Price Alone
Everyone has a budget, but the cheapest wristband isn't necessarily the cheapest solution if it doesn't meet the requirements of your event. Think about what you're actually trying to achieve. A small daytime event might only require a simple printed Tyvek® wristband. A three-day festival may benefit from fabric wristbands with secure non-return closures. An attraction requiring durable identification may prefer vinyl. An environmentally focused event may want to consider RecycleBand, EcoTech or other more sustainable wristband options. Choosing the right product from the beginning can save considerably more than choosing the cheapest option and discovering later that it isn't suitable.
Bonus Tip: Think About Your Entire Access System
For larger events, don't think about each wristband individually. Think about the complete system.
You might need different wristbands for:
General Admission | VIP | Staff | Crew | Performers | Backstage | Camping | Hospitality | Contractors | Different Days
Using different colours, materials or clearly identifiable designs can make access management much easier. For example, a festival could use fabric wristbands for weekend ticket holders, Tyvek® wristbands for day visitors and different coloured wristbands for VIP, staff and crew. The objective should be to create a system that's immediately understandable to the people managing your entrances and restricted areas.
